Process documents using OCR (Optical Character Recognition)
Automatically categorize and extract entities from documents
Search and organize documents intelligently
Generate AI-powered insights and summaries

3. User Registration and Accounts

3.1 Account Creation

To use our Service, you must create an account by providing accurate, current, and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

3.2 User Responsibilities

You agree to:

Provide accurate and truthful information during registration
Maintain the security of your login credentials
Notify us immediately of any unauthorized use of your account
Use the Service only for lawful purposes

3.3 Account Termination

We reserve the right to terminate or suspend your account at any time for violation of these terms or for any other reason at our sole discretion.

4. Document Upload and Processing

4.1 Content Ownership and Rights

You retain ownership of all documents and content you upload to our Service. By uploading content, you represent and warrant that:

You own or have the necessary rights and permissions to upload the content
The content does not violate any third-party rights or applicable laws
You have obtained all necessary consents for processing personal data contained in the documents

4.2 Processing Consent

By uploading documents, you explicitly consent to:

Processing and analysis of your documents using AI technologies
Optical Character Recognition (OCR) to extract text content
Automated categorization and entity extraction
Temporary processing on secure cloud infrastructure (AWS Bedrock in Europe)

4.3 Prohibited Content

You may not upload documents containing:

Illegal, harmful, or offensive content
Copyrighted material without proper authorization
Personal data of individuals without their consent
Malicious code or software
Content that violates any applicable laws or regulations

5. Data Processing and Security

5.1 Data Location

All document processing is performed on secure infrastructure within the European Union, specifically using AWS Bedrock services in Europe to ensure compliance with European data protection standards.

5.2 Security Measures

We implement industry-standard security measures including:

End-to-end encryption for data transmission
Encryption at rest for stored documents
Access controls and authentication mechanisms
Regular security audits and monitoring
Compliance with ISO 27001 and SOC 2 standards

5.3 Data Retention

Documents are retained according to your account settings and subscription plan
You may delete documents at any time through the Service interface
We automatically delete inactive accounts and associated data after 24 months of inactivity

6. Subscription Plans and Billing

6.1 Service Plans

We offer various subscription plans with different features and usage limits:

Free Plan: Basic document processing with limitations
Professional Plan: Enhanced features and higher usage limits
Enterprise Plan: Full features with custom limits and support

6.2 Billing Terms

Subscription fees are billed in advance on a monthly or annual basis
All fees are non-refundable except as required by law
Price changes will be communicated 30 days in advance
Failed payments may result in service suspension

6.3 Usage Limits

Each plan includes specific limits on:

Number of documents processed per month
Storage capacity
API requests
Advanced features access

Exceeding limits may result in additional charges or service restrictions.

7. Intellectual Property

7.1 Service Rights

The EASE-AI service, including all software, algorithms, and user interfaces, is protected by copyright and other intellectual property laws. We retain all rights to our technology and service infrastructure.

7.2 User Content

You retain ownership of your uploaded documents. We do not claim ownership of your content but require necessary licenses to provide our services, including the right to process, analyze, and store your documents.

7.3 AI-Generated Content

Insights, summaries, and other content generated by our AI systems are provided "as is" without warranty. You are responsible for verifying the accuracy of AI-generated content before relying on it for business decisions.

8. Privacy and Data Protection

8.1 Privacy Policy

Our collection and use of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference.

8.2 GDPR Compliance

We are committed to compliance with the General Data Protection Regulation (GDPR) and other applicable data protection laws. Users have rights including:

Access to their personal data
Rectification of inaccurate data
Erasure of personal data
Data portability
Objection to processing

9. API Usage and Integration

9.1 API Access

API access is provided under separate API Terms of Use. API usage is subject to rate limits and authentication requirements.

10. Liability and Disclaimers

10.1 Service Availability

We strive to maintain 99.9% uptime but do not guarantee uninterrupted access to the Service. Scheduled maintenance and emergency repairs may cause temporary unavailability.

10.2 Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, EASE-AI SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR USE.

10.3 Accuracy Disclaimer

While we use advanced AI technologies, we cannot guarantee 100% accuracy in document processing, categorization, or entity extraction. Users should verify AI-generated results before making business decisions.

11. Force Majeure

We shall not be liable for any failure or delay in performance under this Agreement which is due to fire, flood, earthquake, pandemic, or other acts of God, war, terrorism, labor disputes, or any other cause beyond our reasonable control.

12. Termination

12.1 Termination by User

You may terminate your account at any time by contacting our support team or using the account deletion feature in your settings.

12.2 Termination by EASE-AI

We may terminate your access to the Service immediately, without prior notice, for:

Violation of these Terms
Non-payment of fees
Suspected fraudulent or illegal activity
Extended periods of inactivity

12.3 Effect of Termination

Upon termination:

Your access to the Service will cease
Your data will be deleted according to our data retention policy
Outstanding fees remain due and payable

13. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of Germany. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the German courts.

14. Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting to our website. Continued use of the Service after changes constitutes acceptance of the modified Terms.
